Collection of Fees - Send coupons and notices on delinquents. Send problem accounts to attorney for collection. (Attorney charges unit owner for all collections - Association does not bear costs) Funds - Deposit all funds into Association checking account with separate savings for reserves. Disbursements - Pay all operating expenses (utilize Quickbooks Pro). Non-budgeted expenses, such as maintenance, exceeding a predetermined amount agreed to by the board and manager, shall be pre-approved and signed by appropriate board member. Records and Accounts - Maintain accurate accounting of income and expenses, notices to owners, invoices, etc. Monthly Statements - Balance sheet, income and expense, accounts receivable and payable, delinquency reports, management reports - phone log of unit owner calls and concerns, inspection report. Annual Operating Budget - Prepare and submit budget for upcoming year at least 30 days prior to annual meeting - forecasting possible increases in expenses and capital expenditures. Annual Report - Notify each unit owner of annual meeting and send copy of annual report and budget for approval. Communication – Publish a newsletter on a periodic basis to keep unit owners informed of regular happenings as well as special issues. Physical Management - At least once a month - usually weekly - walk around inspection of complex - offer report on condition, repairs needed, by-law infractions and action to be taken. Maintenance to be performed by prior agreement of board and management using such contractors satisfactory to board and management. Keep costs at a minimum in regards to lawn care, utilities, trash removal, snow removal, insurance, etc. and monitor all work being done to insure quality. Exterior maintenance - priced separately, an exact figure based on the work to be done. Bids will be requested approval and signature by the board before any work is to be done, unless it is an emergency or under an amount set by the board.
